Who this notice is for
Anyone who attends one of our workshops or courses. That includes:
- Learners on the Carpentry & Handywomen Skills Bootcamp, funded by the Department for Work and Pensions and contracted through Surrey County Council
- Learners on the same Bootcamp whose place we fund ourselves
- Anyone attending a paid one-day course or workshop
- Anyone else taking part in a session we run
Some sections only apply to funded Bootcamp learners, and those are marked.
What we collect
Everyone
- Your name, address, email address and phone number
- An emergency contact
- Anything you tell us about health, injuries or support needs, so we can keep you safe and make the day work for you
- Attendance
- Photographs or video, only if you have agreed (see the section on photography below)
- Anything you tell us in feedback, questionnaires or conversation
Funded Bootcamp learners only
Because the programme is publicly funded, we also have to collect and report:
- Date of birth, sex, ethnicity and nationality
- National Insurance number
- Your Unique Learner Number, which we obtain from the Learning Records Service
- Proof of identity and proof of address
- Employment status, and your Unique Taxpayer Reference if you are self-employed
- Highest qualification held
- Whether you have a disability, learning difficulty or long-term health condition
- Your attendance in hours, and what you go on to do afterwards
Why we collect it, and our legal basis
| What for | Legal basis |
|---|---|
| Running the course and keeping you safe | Performing our agreement with you, and our legitimate interest in safe delivery |
| Health and safety, including first aid and emergencies | Legal obligation, and protecting your vital interests in an emergency |
| Reporting funded learners to government | Legal obligation under our funding agreement, and a task carried out in the public interest |
| Making adjustments so the course works for you | Your consent, which you can withdraw at any time |
| Photography, film and press | Your consent, which you can withdraw at any time |
| Showing funders what the programme achieves | Our legitimate interest in securing funding for future courses. Answering is optional |
| Keeping in touch about future courses | Your consent |
Information about your health
Information about health, disability or a learning difficulty is special category data and the law gives it extra protection.
- We only ask so we can support you and keep you safe.
- You never have to give a diagnosis. Telling us what would help is enough.
- It is not recorded in anything Surrey County Council or any funder sees. For funded learners we record only a yes or no against a standard government field, never the condition itself.
- Details are held in a separate confidential note, seen only by Becky and, where it affects your safety on the day, the trainer working with you.
Who we share it with
Funded Bootcamp learners
We are required to share your information with:
- Surrey County Council, who contract and administer the programme, contract reference XSB-90001085-A000052
- The Department for Work and Pensions, who fund it
- The Department for Education, through the Individualised Learner Record
- The Learning Records Service, to obtain and verify your Unique Learner Number
What the government does with that information is set out in the ILR Privacy Notice for the year your course runs in: https://guidance.submit-learner-data.service.gov.uk/26-27/ilr/ilrprivacynotice
Skills Bootcamps may also be inspected by Ofsted, who may observe a session or speak to learners.
Everyone
- Trainers working on your course, only what they need to teach you safely
- Emergency services, if you are hurt
- Our online learning platform, which records your progress through the pre-learning
- Employers, only where you have asked us to introduce you
We never sell your information, and we never pass it to anyone for marketing.
Photography, filming and the press
We sometimes photograph or film sessions, and journalists or documentary makers occasionally attend.
This is always your choice and it never affects your place, how you are treated, or anything else.
- You are asked separately, on a photo and media consent form, and you can give full, partial or no consent
- You can change your mind at any time, including on the day, including after saying yes
- If press or a film crew are coming, we will tell you in advance, not on the morning
- A newspaper or production company is responsible for its own use of your information, not us. If you appear in their material, they decide what they do with it, and we cannot withdraw it for you once it is published. Please think about that before agreeing
- If you would rather not be filmed, tell Becky and it will be arranged quietly. Nobody else needs to know, and you will not be asked to explain
How long we keep it
| What | How long we keep it |
|---|---|
| Funded learner records, including ILR data and the evidence supporting each funding claim | Six years from the date we receive the funding those records relate to. In practice that means six years from the final milestone payment for your course |
| Health and support notes | Until the end of your course and then 12 months, unless you ask us to delete them sooner |
| Photographs and film you consented to | Until you withdraw consent, or 3 years, whichever is sooner |
| One-day course records | 2 years |
| Marketing contacts | Until you unsubscribe |
We also continue to collect information about what learners go on to do for six months after the programme ends, because our funding agreement requires it.
Your rights
You can:
- Ask what we hold about you, and get a copy
- Ask us to correct anything wrong
- Ask us to delete information, though we cannot delete what we are legally required to keep for funding
- Withdraw consent at any time, for photography, for support information, or for marketing
- Object to how we use your information
- Ask for your information in a portable format
Just email contact@diyherway.com. We will respond within one month.

If you are unhappy with how we have handled your information, please tell Becky first and we will try to put it right.
